Below is the text of an email sent to all Eastern Meet Attendees.  If you are registered with me for the meet you should have received this email.  If you did not please let me know.

Good Evening Eastern Meet Attendee,

 First and foremost, this is a group email so, please, if you respond please DO NOT select "Respond To All".

 If you are on the club website very much you are well aware of our “Countdown To The Eastern Meet”.  We are now just 3 weeks until our members start arriving in Carlisle to kick off our 25th Eastern Meet and Carlisle Events 50th Anniversary of their hosting of car show events. 

There is going to be a ton of information in this email.  You may want to print it out so you have it for reference.

Many of you already have my cell phone number, but for those of you who don’t my number is 412-926-9168 and during your trip to and during the meet please feel free to call or text me and myself or our other Eastern Meet coordinators will help you out.

All of our member registration folders are ready to go.  The nametags for each member and their guests are printed and inserted into holders.  Inside each folder will be some club business cards, East Meet metal dash plaque, your FGMCC Dash Card, Award Dinner Menu, and our club Itinerary.  I had also emailed you all a preliminary itinerary.  There have been a few changes in the itinerary that you will find in your registration folder and you will be given that information at the same time you receive your folder.

At the hotel and on the show field, I hope to have a posting of each of the days activities

This email is to serve as a reminder of some things you may have received from me in emails since January.  The Fairfield Inn and Suites is completely SOLD OUT and our club holds the majority of rooms in the property.  Just some things regarding the club hotel:

·         Starting Tuesday and running through Saturday the hotel will be providing us with a hose to wash our cars

·         The property will rope off the entire side parking lot reserved for our show cars (there may not be room in this area for our members modern cars but if there is they can also park in this area

·         Our club policy for areas around the hotel and in any other area we travel together is absolutely NO Burnouts.  This is for the safety of our members and their cars.  What you do in areas where we are not there as a group is up to you

·         If you have any issues you can’t resolve at the club hotel please notify me and I will address these them with the General Manager

HOTEL RESERVATION CANCELLATIONS

Our club hotel, The Fairfield Inn and Suites is sold out and there may not any rooms available in our room block.  With this in mind, if for some reason you need to cancel your trip to the Eastern Meet and you are registered to stay in the club host hotel, please DO NOT cancel your room. 

We usually have members who decide to come after all of the rooms in our block are sold.  Because of this I will have a Waiting List for these members needing rooms.  So this is why I need you to NOT cancel your room reservation.

So, if you find you can’t come, please contact me with your Name and Confirmation number and room type (QN/Qn, QnQn Suite, King or King Suite).  I will record these confirmed reservations and as soon as someone contacts me with a room need, I will give these people needing rooms your reservation.  I will do this through the hotel general manager.  I will then let you know your reservation has been transferred to the person needing a room.  Usually, the hotel will also notify you of your reservation cancellation or transfer.   On a specific day and before the cancellation cut off day, I will cancel any rooms not taken.  I will more than likely do this on or before Friday June 14th.

COOLEST CLUB HANG-OUT ON SHOW FIELD

Carlisle Events awards a banner to the car club that has the “Coolest Club Hang-out”

In 2020 at our Eastern Meet and 2023 at our Mini-Meet our club won this award banner and we would like to take this honor again in 2024.  In 2022 the Fiero Club took this banner away from us.  We need to come up with a way that we can bring this banner back home to the First Generation Monte Carlo Club to win this honor two years in a row. 

I am looking for a couple volunteers to come up with some ideas on decorating our club canopy.  I know a couple members have Knights that they bring and we have been know to decorate these knights to draw attention.  One of the knights even supported a cigarette and club jacket.  I am sure we can talk the members to bring their knights again this year. 

I have made hand made numerous Monte Carlo castle style flags/banners with the Monte Carlo Grill emblem on each of them that we can display.  We already have two American Flags for the club to display.  There are many ways we can decorate the club canopy to draw attention to the judges.  In the past couple years Jack and Judy Cooper brought State Flags for every state represented by a member and I hope Jack and Judy will repeat this again this year.

I also hope to be able to bring some T-Shirts, Front License Plates, and hats to sell in the club canopy which is a club activity they look for. 

Ron Tevis is also planning to be grilling some burgers on a grill on Friday Afternoon at the club canopy for our members.  The burgers will be served starting at noon and will run for about an hour. We will only ask for a donation for these burgers to offset Ron’s costs for these food supplies.

As a group on Thursday, we will go to the show field as a group to do this decorating.  The decoration as a group usually only takes about a half hour. 

If you would like to volunteer head up the decorating of the club canopy, please let me know and let me know what ideas you may have for the decorations.

A couple other activities will be discussed later in this email.

THURSDAY EVENING PIZZA PARTYAND GO-CART RACING

Thursday evening, we will have our club Pizza Party.in the host hotel hospitality area.  The cost for the Pizza Party will be $6.00 per person in your party.  We will order a nice variety of pizza’s.  Everyone should bring their own drinks. 

Following the Pizza Party we will leave as a group with everyone who is interested in some spirited go-cart racing.  The Go-Cart racing will be a weather permitting activity.  We will caravan to the Carlisle Sports Emporium for this activity and everyone can leave there on their own to return to the club host hotel.

WHAT IS THIS BENCH RACING I HAVE BEEN HEARING ABOUT

For those who have never attended one of our meets, Bench Racing is an activity that is one of the most popular functions of any meet.  Bench Racing is simply where every evening we all gather in the parking lot of the host hotel with our folding chairs, bringing the beverage and snacks of our own choice.  We usually start with the first members arriving in the parking lot assembling their chairs in a small circle in front and behind of our parked cars and sit there and tell some stories and tell some jokes and maybe even tell some lies. 

Bench Racing is nothing more than our happy hour/social hour get together where we really get to know each other.  Many, many long-lasting friendships have been solidified during our bench racing sessions and there have also been times where needed “Repair Seminar’s” have happened.  Sometimes these repair seminars are a leadup to knowing who will be awarded the “Hard Luck” award at our Award dinner

SOME FRIDAY CLUB CANOPY ACTIVITIES

On Friday we will be having several activities in the Show-field FGMCC Canopy.  Below are these activities:

·         From noon to around 1:00PM member will be grilling some burgers and have some chips for anyone interested in lunch.  (Ron is purchasing these items and the club is suggesting a donation to offset Ron’s expenses.  This donation is a suggestion but not mandatory)

·         We have a number of members who are due 5, 10, 20 and 25 year Anniversary Awards.  These awards will be presented at the end of Ron’s Burgers

·         “Stump The Monte Carlo Experts”  Following the Anniversary Award presentations we will have a Seminar/Game we are calling  “Stump The Monte Carlo Experts”  We will have several of our members serving as our experts.  These experts will field questions regarding the FGMCC Club History and any technical questions from our members.  Our experts may even throw out some questions to the group.   If you stump our experts you could earn a prize or if you are able to answer their questions you could win a prize.  This will be a fun activity lasting no longer than an hour. 

THURSDAY HOTEL GAMES

On Thursday afternoon we will be having a Poker Run in and around the Carlisle area. And member Dennis Tretter has stepped up to come up with some other games for our members.  Prizes will be awarded

SATURDAY AWARD DINNER

We will have a group award dinner on Saturday Evening.  At this dinner we will be presenting our club awards.  This will be a buffet dinner with a nice selection of food to select from.  The price for this dinner will be $21.00 per person with kids 13 and under for $7.00.  The buffet dinner will include your salad, roll, entree, non-alcoholic beverages and tip.  If you feel you will want an adult beverage you are welcome to bring your own. 

To speed up this process I will be collecting cash from everyone for this dinner when you arrive and check in with me for your registration folder and name badges.  Please have the exact cash to pay for your dinners.  When you pay for your dinner, you will receive a bank coin envelope with your dinner wrist bands for everyone in your group.  Please put this envelope in your glove box so you will have it at the dinner and wear these wrist bands to the dinner

Our dinner will be held on the show field in the covered open air food vendor area.  This is where the caterer will be set up.  At that time the food vendors will be closed so we will have the area to ourselves.

CLUB AND CARLISLE EVENTS AWARD VOTING

When you check in with me when you arrive at the meet you will be given a folder and in folder, one of the things will be your member voting sheet.  You will need to fill out the club voting form and return it to me by 11:30AM on Saturday.  Please note, this will be our club voting for our club awards. 

Carlisle Events will also have their own participant judging forms that will be the judging for the Carlisle Events Awards.  If you pre-register your car with Carlisle Events, in the mail you have received a window registration sticker and a letter.  The sticker will go on your windshield on the upper drivers’ side windshield.  You will need to keep that letter too because with that letter you will go to a building on the show field and use that letter to pick up a Carlisle goodie bag and Carlisle Judging sheet. So basically, you will have two different voting forms to fill out.

The FGMCC voting sheet will be used to vote only for our club car voting.  On the Carlisle Events voting sheet you will vote not only for our first generation Monte Carlo’s but also other generation Monte’s and maybe other cars.

Our judging sheets will be turned in to me and the Carlisle Events sheet will be turned in at the building where you will pick up your Carlisle Events goodie bag.

KIDS ACTIVITIES

As of now we have I think 11 kids coming with their parents and grandparents.  Member Tony Divirgilio has stepped up to plan a few things for our FGMCC Kids.  Along with this, I have been working with Carlisle Events and I think they are going to give me some coupons and we will give each of the kids in attendance one of these coupons they will be able to use at either the main food vendors or the Carlisle Events Shop.  Our kids do a lot to entertain themselves at the hotel in the parking lot and swimming pool and on the show field.  Most of these kids have been keeping in touch with each other through social media for a number of years.

 

CAR TRAILERS AND TOW VEHICLES

We have never had an Eastern Meet this large.  The majority of our members drive their cars to our meet but we do have a lot of people who bring their cars in trailers.  One of the many things we like about our hotel is the large driveway leading to the hotel from two different streets.  This has always allowed plenty of parking for our members trailers and even trailers and tow-vehicles.  I think there will be enough room in the large driveway because some of our members leave their car trailers at the show field. 

The Carlisle Events show field is under 24-hour security, some people even leave their car on the show field.  I am bringing this up in case we run out of room in the hotel driveway to park trailers.  If that happens you would be able to get a registration to leave your trailer at the show field.  Again, I think there will be enough room in the driveway leading to the hotel. 

The hotel ropes off their side parking lot to be used for our club to park our show cars.  This takes up the majority of their parking for hotel guests if space to park personal vehicles in the front hotel parking lot or the other side it may be necessary to park your tow vehicle in the driveway too.

I am letting you know this in advance but it is my hope that since I think we will have the majority of the rooms in the hotel we won’t have any issues.  Just keep in mind that trailer storage on the show field is available for a reasonable fee.  If you have any questions or concerns regarding trailer storage on the show field, please talk to CK Collins or Joe Tedesco because this is something they have done for years with no issues.

HOTEL SECURITY

In past years many members have asked about security at the hotel while we are sleeping.  While we have never had an issue at our meets, the very large number of cars we will have at this meet the officers decided to look into hiring a security guard from 12:01AM to 6:00AM.  We have researched numerous security agencies and contracted with the one that best fits our clubs needs.  The company we decided to go with employ’s their own guards and does not sub-contract guards from other companies.  This company is also contracted with many of the Harrisburg, PA State Capital facilities.  All of their guards are fully certified.  This is the first time we have ever hired security for our cars.   

When you check in with us to get your club registration folder, we will have an envelope there to help offset the cost of these security guards.  This donation will be completely voluntary.  The envelope will be there and if you decide you want to donate to the security your donation will be anonymous.  We are not looking to make any money on this, only to help offset the costs for the security.

I was sure that there was a picture of the power slide thru the puddle. I was already soaked so none of the water shots really mattered. 😂
